APSR Congress Registration Conditions

REGISTRATION FEE INCLUDES:

• Attendance at all sessions from 19 to 22 November 2026. Separate fees will be charged for Workshops / Postgraduate Courses.
• Access to the poster & exhibition area.
• Light refreshments during breaks as indicated in the programme.
• Name badge and programme book.
• Invitation to Opening Ceremony, Welcome Reception and Closing Ceremony

OPTIONAL FEE

Registering for the below optional event and sessions is available only for those who register for the Congress.

• Optional fee for the Gala Night: USD 100
• Workshops / Postgraduate Courses: USD 100

*Note: Refunds for optional fees will be handled according to the APSR CANCELLATION & REFUND POLICY.

ACCOMPANYING PERSON

• Each fully paid delegate can register one (1) accompanying person via the Congress registration system.
• An accompanying person is limited to a spouse, partner, or child aged 19 and elder. Children aged 18 and under are not permitted to enter the Congress venue.
• The accompanying fee does not include admission to scientific sessions. An accompanying person may attend only:
  • Opening Ceremony
  • Welcome Reception 
  • Closing Ceremony
• Gala Dinner ticket for the accompanying person may only be purchased by the main delegate if the main delegate has registered an accompanying person ticket

REGISTRATION OF APSR MEMBERS 

• APSR Member rates are also available to:
  • Individual APSR members
  • APSR members registered through en bloc societies
• APSR Membership Number consists of 10 digits (e.g.; 0000001234)
• Active membership must be verified prior to registering for the Congress. Expired memberships or memberships with applications still in progress will be treated as non-memberships.
• Registration under the APSR member category is restricted to individuals with a valid and active APSR membership number.
  Membership status is verified automatically by the registration system at the time of registration. Delegates without a valid membership will not be able to select the APSR member rate and must register under the non-member rate.
• To register for the Congress with the membership rate, apply for APSR membership well in advance of the relevant registration deadline (e.g., Early Bird, Standard, or Onsite), as membership approval may take time.

REGISTRATION CATEGORY & CHANGES

• The registration category selected at the time of registration is final.
• Once registration is completed and full payment is received, changes to the registration category are not permitted under any circumstances.

METHOD OF PAYMENT & REGISTRATION CONFIRMATION

• Credit Card / Debit Card

• Registration will only be valid once MTS has received full payment by the applicable deadline indicated (e.g. Early Bird, Standard, or Onsite).
• APSR reserves the right to cancel the registration and/or apply the appropriate higher rate if full payment is not received by the relevant deadline. (e.g. Standard rate will be charged for Early Bird registrations, or Onsite rate will apply)
• A registration confirmation email will be sent only after the required fees have been received.
• The bank transfer option is available upon request. Please contact the APSR 2026 Penang Congress Secretariat at contact@mail.2026.apsr.org.
• If your bank transfer is not credited by the deadline, a copy of the transfer record or other proof of payment will be requested.

*Note: MTS is responsible for the collection fee only. All enquiries regarding registration status, confirmation, or registration details should be directed to the APSR 2026 Penang Congress Secretariat at contact@mail.2026.apsr.org.

APSR CANCELLATION & REFUND POLICY:

• Cancellation and refunds are available subject to the following:
  • Refund request deadline: 12 October 2026, 23:59 (MYT /UTC+8)
  • Cancellation must be notified by email to the APSR 2026 Penang Congress Secretariat no later than the deadline (contact@mail.2026.apsr.org)
  • An administrative fee equal to 25% of the total amount paid will be deducted from the refund amount.
  • Any applicable bank charges will be deducted from the refunded amount.
• No refunds will be issued for cancellation requests received after the deadline.
• Non-attendance does not entitle any refund or fee waiver.
• All registrations are personal to the registered individual; substitutions or name changes are not permitted.
• If an incorrect fee is selected during registration, no reimbursement will be provided.
• All cancellation, refund, and registration-related enquiries must be sent to the APSR 2026 Penang Congress Secretariat at contact@mail.2026.apsr.org.

PROGRAMME CHANGES

• The APSR reserves the right to modify the Congress programme at any time, which is provided for indicative purposes only and is subject to change.
• No fees will be waived, nor will there be any right to further claims, should the APSR be required to alter the programme of the APSR Congress

DISCLAIMER

• Neither APSR, MTS, nor the APSR 2026 Penang Congress Secretariat shall be responsible for any bodily or material damage (including theft) sustained by delegates or their accompanying family members during the APSR Congress or in relation to it, unless caused directly by the fault of the APSR and/or MTS and/or APSR 2026 Penang Congress Secretariat.
• Delegates are responsible for arranging their own travel and medical insurance.

TRAVEL INSURANCE

Personal travel insurance is strongly recommended to cover registration fees, travel, accommodation, medical expenses, and loss of personal effects.

CODE OF CONDUCT

• Delegates must behave professionally and refrain from discrimination, harassment, or retaliation 
• Respect all participants to ensure a safe, inclusive, and professional environment. 
• The APSR reserves the right to take action if this code is breached. This may result in immediate removal from the Congress venue or platform without refund and a ban from attending future events.

SOCIAL MEDIA

• The APSR invites delegates to use the official APSR Congress hashtag #APSR2026 when sharing Congress-related content. 
• The following posts are not allowed:
  • Photos of identifiable individuals without their permission
  • Photos of presentation slides and the contents of the poster presentations
  • Video or audio recordings of presentations
• The APSR reserves the right to request the modification or deletion of any posts at any time that are deemed defamatory or inappropriate.

GOVERNING LAW

These Conditions and any related disputes shall be governed by and interpreted in accordance with the laws of Japan, where the APSR secretariat is located, without regard to conflict of law provisions.

DISPUTE RESOLUTION

The parties herein shall seek to settle any dispute, controversy or claim relating to the Conditions herein through good faith negotiation. In the event the Parties fail to resolve such dispute through good faith negotiation within (30) days after one party notifies the other party of any dispute in writing, the parties may settle such dispute through arbitration.

All disputes, controversies or differences arising out of or in connection with the APSR Congress Registration Conditions shall be finally settled by arbitration in accordance with the Commercial Arbitration Rules of The Japan Commercial Arbitration Association. The place of the arbitration shall be Tokyo, Japan.
